Administrator (Administration team)

We are looking to recruit an Administrator to join our friendly and supportive administration team in a busy doctor’s surgery in Gloucester.

Having merged from four practices in 2018, Aspen Medical Practice is now a single large practice with around 30,000 patients. Operating from a modern main super surgery in central Gloucester we work together as one multi-disciplinary team to provide the best possible service we can for our patients and their families.

Our administration team consists of 21 full and part-time staff who work together to support the practice performing duties including clinical coding, summarising of patient records, referral management as well as a varied range of general administrative tasks (such as responding to emails, dealing with patient queries etc). The successful candidate may be asked to perform any of the team’s tasks.

Previous Administration experience is essential. Experience in healthcare and/or a GP surgery would be desirable but not essential as training will be given.

Standard working hours are 8am – 4pm and we are looking for someone to work three days per week (22.5hrs).

  • Safeguarding, Frailty and Palliative MDTs in house and Community Matron lead Frailty service.
  • Clinical Pharmacist team leading on medicines management and prescription flow.
  • Full time team of Results Nurses managing chronic disease blood results and medication monitoring.
  • Home visits done by Visiting ANP/GP (no routine visits for the other GPs unless a patient is a palliative patient with you as their primary physician).
  • Minor surgery, Dermatology, Joint Injections, Diabetes and LARC Specialist clinics
  • In house Eat Real Food patient education approach to diabetes and metabolic syndrome management.
  • Lifestyle Medicine approach.
  • Nursing Homes covered by named GPs.

We are seeking an experienced manager to join our Senior Management team to strengthen our administrative oversight of 140 staff and three buildings.

Job description

Manage and work direct the Risk and Compliance department in the areas below in all three Aspen locations. Ensuring Aspen is safe and compliant with all requirements for human resource law, Care Quality Commission, Health and Safety law and any other statutory requirements. Support the partners and management team in running Aspen Medical Practice.



Experience in a staff supervisory position including directing staff on daily tasks and monitoring performance, Managing workloads to deadlines, Expertise in relationship building/management, Demonstrable emotional intelligence, Ability to use Excel to communicate and manage processes.


Recruitment, appraisals, and performance management, responding to patients queries and /or complaints. Liaising with outside contracts, troubleshooting, being responsible and accountable, managing change, researching, and creating documents for training, preparatory work to be able to produce a report/ presentation / lead a meeting.
